Start with a decision, not a decoration

A useful event brief explains what should change after the event. Is the priority to introduce a product, build relationships, recognise employees or communicate a business milestone? Choose one primary objective, identify the audience and agree how the client will assess success. A launch and an executive dinner may share suppliers, but they need different guest journeys and production priorities.

Check the venue against the production

Review the room and its operating conditions before committing to a design. Capacity alone does not establish whether a venue will work. Walk the route from arrival to registration, seating, stage and hospitality. Check loading access, installation hours, available power, ceiling heights, rigging restrictions and sound limitations with the venue and technical team.

In Riyadh, Jeddah or the Eastern Province, assess travel times and the practical needs of your particular guests rather than choosing a city on reputation alone. For outdoor elements, agree weather contingencies and a clear decision point for activating them.

Build one coordinated guest journey

  • Define the invitation, RSVP and guest-list approval process.
  • Confirm language, accessibility and dietary requirements.
  • Agree VIP reception responsibilities, seating and host briefing.
  • Map transport capacity and dispatch times where transport is included.
  • Give the event manager one approved running order with cue owners.

Make the budget and schedule work together

Separate the client-facing programme from the production schedule. Rehearsal, installation and dismantling need their own labour, equipment and access allowances. Record what each quotation includes, who approves changes and when design decisions must be locked. Confirm applicable approvals with the venue, organiser and relevant authorities early; the required route depends on the event and location.

Protect time for content testing. A presentation can look correct on a laptop and still fail on the final screen because its proportions, text sizes or playback settings differ. Test the actual files on the agreed playback system before guests arrive.

A final-week checklist

  • Approved floor plan, guest list and seating plan.
  • Confirmed suppliers, delivery windows and site contacts.
  • Version-controlled presentations, films and stage graphics.
  • Technical rehearsal and an agreed response to equipment or schedule changes.
  • A named person authorised to approve additional costs.
  • A debrief plan covering attendance, feedback and agreed business outcomes.
